The Osasuna Athletic Club, a reference for Spanish football with more than one hundred years of history, has taken a new step in its process of modernization to migrate all its document management to Docuware Cloud, a Docuware technology, a global leader in document management solutions.
This decision is part of a broader strategy of the club to improve its infrastructure and internal processes, in line with other recent initiatives such as the renewal of the El Sadar Stadium and the investment in technology applied to management.
The need for change was clear: the growth of the club had caused a notable increase in the volume of invoices and documents, which generated an operational overload in the accounting area.
The previous system, based on a combination of physical archives and folder structures on servers, involved inefficient manual processes such as the impression and distribution of digital invoices for approval, explain from the technological company.
With the implementation of cloud docuware, Osasuna has completely digitized this workflow. The invoices – a 100 weekly – are uploaded from the different locations of the club, or scanning the paper receipts or directly integrating the emails using Outlook. The system automatically captures the key data, files the documents and distributes them electronically to the responsible departments. The approval is made with a digital seal and the entire process is registered to ensure traceability.
“Working with Docuware is comparable to using a web page. Therefore, our users feel safer than ever. Docuware has the highest acceptance rate compared to other software applications,” says David Corroza Senosiain, It Manager of Osasuna.
Currently, twelve employees work with this cloud solution, for the approval of invoices and processes such as subscription billing and ticket sale. In addition to improving efficiency, the transformation has reinforced documentary security, a key aspect in an entity that manages especially sensitive information, such as players and financial documentation contracts.
Thanks to the Cloud Docuware Access System it is possible to define precisely who can consult each file type. In this way, departments can autonomously access the documents they need, without depending on the accounting area.
The club has already announced its intention to expand the use of the platform in the coming years, integrating new processes such as contract management and personnel, as well as the activities of the Osasuna Foundation. This evolution has LaLiga’s support, which actively promotes digitalization between clubs as a way to optimize their internal functioning.
